We are seeking for a dynamic Receptionist to join our team. The Receptionist will serve as the welcoming face and primary point of contact for all visitors, clients, and employees. This role is responsible for ensuring a welcoming environment, managing front desk operations, and providing administrative support to maintain office efficiency.
Responsibilities:
- Opens facilities at 7:45 am from Monday to Friday
- Welcome guests and direct visitors to the appropriate person.
- Answer, screen, and forward incoming phone calls.
- Ensure the front desk area is tidy and presentable, with all necessary stationery and material.
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort, and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Manage the assignment of employee parking spots, ensuring accurate tracking and communication of designated spaces.
- Maintain office keys and access badges updated.
- Keep inventory of stock of office & kitchen supplies.
- Assist with day-to-day administrative tasks such as scheduling meetings and interviews, maintaining calendars, and organizing files, as needed.
- Assist in the enforcement of HR policies and procedures.
- Ensure compliance with employment laws and regulations at the federal, state, and local levels.
- Support the organization of company-wide events such as open houses, job fairs, and employee appreciation days.
- Collaborate with the HR team on special projects and initiatives aimed at improving employee experience and organizational effectiveness.
- Assist with audits and investigations related to HR matters.
- Perform other duties as assigned to support operational needs.
Requirements:
- Must have the physical requirements necessary to perform the essential duties of the position.
- Able to work safely and follow all company safety policies and procedures.
- Able to lift 2-20 pounds regularly, climb steps and ladders, and stand or walk for 2—3 hours.
- Must possess the ability to multi-task.
- Must possess the ability to work under pressure.
- Ability to understand complex problems and to collaborate and explore alternative solutions.
- Ability to understand opposing points of view on highly complex issues and to negotiate and integrate different viewpoints.
- Ability to compose letters, outlines, and basic reports and/or to orally communicate technical information.
Required Skills:

- Ability to prioritize tasks, manage multiple projects, and work independently.
- Attention to detail and a commitment to upholding ethical standards and best practices.
- Proficiency in Microsoft Office Suite.
- Teamwork oriented.
- Listening to customers, employees, and management, speaking in a clear and friendly way over the phone and face-to-face are essential skills for this role.
- Fully bilingual, solid written and verbal communication skills in English and Spanish.
Required Education, Experience and Training:
- Associate Degree in Office Administration.
- 1+ years of experience in an office clerk or receptionist role preferred.
